Use this job aid for guidance on how to bulk upload learner transcript data into the Paychex Learning system (PLE) via CSV import. This feature can be utilized to house records of trainings that were completed outside of the system.
- By using this method, the transcript data in Paychex Learning is only obtained through the Paychex Transcript Tools. Data imported through this tool will not be recorded in Analytics Tile meaning it will not reflect on reports.
- This feature is only available to account admins.
- The completion dates must be in MM/DD/YYYY format.
Creating your CSV file
A CSV import file containing the transcript data will need to be created with the following headers:
- bridge_uid (Bridge User ID)
- first_name
- last_name
- course_name
- completion_date
- expiration_date
- training_provider
- credits_earned
- score
To find the bridge_uid, go to the Admin tab / Manage Users / select Export Users
Download your file and then copy/paste the needed bridge_uids (user ids) from column A into column A of your CSV import file.
Columns B – I on your import file is information that you will need to manually input from the content provider. Note: We recommend you leave out special characters in the employee’s name columns, course title, and content provider.
